Classification: Part -Time (25 hours/week)
Our Mission and Vision:
We are passionate about becoming more like Jesus and helping people come to know Jesus.
Position Summary:
The Worship Planning and Project Manager turns the Executive Worship Pastor’s approved vision for worship services and sermon series into clear, coordinated, executable plans. Reporting directly to the Executive Worship Pastor, this position serves as the administrative and collaborative connection among worship, production, communications, facilities, and other ministry areas. This role organizes processes, clarifies assignments, manages timelines, anticipates obstacles, and helps every participating team deliver its work successfully.
Key Responsibilities:
- Translate the Executive Worship Pastor’s direction into detailed service plans, creative briefs, timelines, assignments, and approval steps.
- Lead the planning and project-management process for weekly worship services, sermon series, holidays, and special services.
- Coordinate the contributions of worship, production, communications, facilities, pastors, and ministry teams without creating competing lines of supervision.
- Provide the Communications Director with timely, complete requests for graphics, digital media, video, and promotional or in-service assets.
- Partner with the Production Director to evaluate technical feasibility, identify equipment and volunteer needs, and prepare for rehearsals and services.
- Maintain a forward-looking worship calendar, track deadlines and approvals, and follow up consistently with every contributor.
- Protect the Executive Worship Pastor’s role as the final authority for worship vision, content, and service direction.
- Evaluate completed services and projects, document lessons learned, and improve the planning process over time.
Specific Areas of Responsibility:
- Weekly Worship Planning and Execution
- Prepare agendas and lead the administrative portion of weekly worship-planning meetings.
- Develop and maintain service plans, run-of-show documents, creative briefs, and production notes.
- Clarify decisions, owners, deadlines, dependencies, and next steps following each planning meeting.
- Confirm that required content and assets are approved, delivered, tested, and ready before rehearsal and worship services.
- Participate in rehearsals and worship services as needed to support execution and address issues.
- Sermon-Series and Special-Service Development
- Support the Executive Worship Pastor and preaching pastor in developing the central theme, desired response, and creative direction for each series.
- Create a complete project plan for graphics, environmental elements, digital content, video, music, production, facilities, and other ministry involvement.
- Plan far enough in advance to allow teams to contribute excellent work without unnecessary urgency.
- Keep the approved concept, scope, budget, and timeline visible to everyone involved.
- Cross-Functional Collaboration
- Serve as the primary coordination point between worship planning and the Communications Director for worship-related deliverables.
- Work directly with the Production Director on technical execution while respecting that the Production Director reports to the Executive Worship Pastor.
- Loop in facilities and other ministry areas whenever a worship plan affects spaces, schedules, safety, staffing, or ministry participation.
- Facilitate productive conversations, surface conflicting expectations early, and pursue solutions that serve the whole church.
- Project and Administrative Leadership
- Maintain shared project-management tools, calendars, files, notes, and approval records.
- Track multiple projects at different stages and provide concise status updates to the Executive Worship Pastor and participating leaders.
- Identify risks involving timing, capacity, cost, communication, or technical feasibility and escalate them promptly.
- Use established processes while remaining flexible when pastoral or ministry circumstances require change.
- Creative Culture and Continuous Improvement
- Help create a planning culture marked by preparation, trust, candor, humility, and shared ownership.
- Invite ideas from staff and volunteers while ensuring that final decisions remain aligned with the Executive Worship Pastor’s direction.
- Conduct appropriate post-service reviews and convert feedback into practical improvements.
- Celebrate team contributions and help volunteers and staff understand how their work supports BFC’s mission.
Qualifications and Position Requirements:
- Exhibits a personal and growing relationship with God, a teachable spirit, and a healthy personal life.
- Demonstrates a strong biblical and theological foundation.
- Is in agreement with the Church of the Nazarene Articles of Faith.
- Lives in full agreement with the Church of the Nazarene Covenant of Christian Conduct and Covenant of Christian Character.
- Bachelor’s degree or related experience in communications, production, project management, ministry, or a related field preferred.
- Experience coordinating worship services, creative projects, live events, media, production, or cross-functional ministry work strongly preferred.
- Exceptional organization, project management, follow-through, and attention to detail.
- Demonstrated ability to collaborate across departments and lead through influence without relying on positional authority.
- Creative judgment combined with the ability to translate ideas into practical plans, assignments, budgets, and deadlines.
- Clear and gracious communication, including the ability to give and receive feedback and navigate competing priorities.
- Working knowledge of worship-service planning, production workflows, creative briefs, digital media, and project-management tools.
- Calm and adaptable under pressure, with the judgment to distinguish urgent needs from avoidable last-minute changes.
- Availability for Sunday services, rehearsals, holidays, and occasional evening or weekend ministry events.
